Power Automate: Automate Your HR and Finance Processes Without a Developer

December 10, 20255 minFlorent Clermidy

An SMB of 50 employees loses an average of 6 to 8 hours per week on avoidable manual tasks. Approving leave by email. Re-entering data from one Excel file to another. Manually chasing suppliers. These processes are not complex — they are simply repetitive. And that is exactly what Power Automate is designed to eliminate.

The good news: you can configure your first automated flow in 2 to 3 hours. No developer, no line of code required. The real question is not a technical one. It is knowing which process to start with. Here are the five that SMBs prioritize for automation — and the concrete gains behind each one.

5 HR and Finance Processes That SMBs Automate First with Power Automate

  1. Leave Approval

In most SMBs, a leave request generates an average of 3 email exchanges: the initial request, the manager's approval, and HR confirmation. When the manager is away, it can take several days.

With Power Automate, the flow runs on its own. The employee submits their request from Outlook or Teams. The manager receives a one-click approval notification. Once approved, HR is automatically notified and the schedule is updated. Result: processed in under an hour, zero manual emails.

  2. New Employee Onboarding

Every new hire generates an identical list of IT tasks: create the Microsoft 365 account, add the person to Teams, open SharePoint access, send the welcome email, notify IT for equipment. Two hours of manual work, every single time.

Power Automate triggers this entire sequence automatically as soon as a new profile appears in your HR tool. Two hours of IT tasks eliminated per new hire.

  3. Expense Report Processing

A manually processed expense report takes an average of 45 minutes: photo of the receipt, data entry, submission to the manager, follow-up if no response, transmission to accounting.

The automated flow works as follows: the employee takes a photo from their mobile device. Power Automate extracts the data (date, amount, supplier) and pre-fills the form. The manager approves with one click. The information integrates directly into accounting. 45 minutes becomes 5 minutes.

  4. Supplier Follow-ups and Contract Tracking

A supplier contract reaching its expiry date without anyone noticing is a real legal and financial risk. Most SMBs still manage this tracking in an Excel file that nobody consults frequently enough.

With Power Automate, expiry dates are stored in SharePoint. The flow sends an automatic alert at D-30, then at D-7. A weekly report is automatically sent to the CFO every Monday morning. Zero forgotten contracts. Zero manual follow-ups.

  5. Automated Weekly Reporting

Preparing the weekly executive committee report often takes 2 to 3 hours: extracting data from the CRM, consolidating figures from Excel, retrieving information from SharePoint, and formatting everything. A repetitive task that ties up a skilled person on work with no added value.

Power Automate aggregates data from all these sources, generates the report, and automatically sends it every Monday at 8am to the right people. 2 to 3 hours saved every week, with no human intervention.

What Power Automate Is Not

To be clear: Power Automate is not a development tool. It is not used to build complex business applications. It is a process automation tool — and it excels at that precise role.

It is also not a replacement for your ERP or your accounting software. It connects to your existing systems and streamlines exchanges between them. It does not replace them.

An honest limitation worth knowing: flows involving more than 20 steps, or integrating advanced conditional logic, become difficult to maintain in Power Automate. For these cases, Power Apps is better suited. We help you identify the right boundary before you begin.

Power Automate is ideal for structured and repetitive processes: those that always follow the same steps, involve the same people, and use the same systems. Leave approval, onboarding, expense reports, follow-ups, reporting — these are exactly those cases.

How to Get Started: The First 3 Weeks

We never recommend automating several processes at once from the outset. The approach that works is progressive and takes three weeks.

  1. Week 1: Identify and Document

List the three most repetitive processes in your organization — those that consume more than one hour per week. Document each step: who does what, with which tool, and in what order. A poorly documented process produces a poorly built flow.

  2. Week 2: Test with a Simple Flow

Choose the simplest process of the three — often leave approval or invoice follow-up — and build the first flow. Test it under real conditions with two or three people. Adjust as needed. A flow that works at 90% already delivers a concrete gain.

  3. Week 3: Train the Maintainers

Identify the two or three people who will maintain these flows on a day-to-day basis — not necessarily technical profiles. Power Automate was designed to be used by business users. One day of Power Platform training is enough to make them fully operational for maintaining and evolving simple flows.

Air Cloud's Support for Power Automate

We work in three stages on every Power Automate project.

First, a scoping workshop. We spend half a day with you to map your existing processes and identify those with the best immediate value. Our goal is for the first three flows you deploy to deliver a visible gain quickly.

Then, the development of your first flows. We build them with you, not for you. Every flow is documented: steps, conditions, connectors used, people involved. If something changes in your organization six months down the line, you know exactly how to adapt the flow.

Finally, training your teams. This is the most important part. The goal is not for you to call us every time a flow needs modifying. We do not want you to need us for routine maintenance. We train the right people on your side so they are fully autonomous. That is our commitment on every Power Platform project.
